Mail-Merge Mailing (NOT IN MM LITE)
Mail-Merge Mailing:

The Mail-Merge feature lets you create one (1) message with 'placeholders' for the nickname and the full name and then the program creates personalized messages, one for each addressee. The messages are stored in the OUTBOX from where they can be sent.

Creating an MM Address Book

Click in MM's Main Window on the ADDRESS BOOK button. At the top-left you find the buttons to create and maintain your MM Address Books.

Clicking on this button opens the file menu where you can create or select an Address Book file. The main Address Book file is MM-ABOOK.DAT, which is created by default. You can create as many address books as you need. Files MUST always start with "MM-ABOOK" and the extension MUST be ".DAT". E.G. put all e-mail addresses for your bowling club members in the file MM-ABOOK BOWLING.DAT.

In fact, when you want to create a new address book for your friends, click on the BOOK button and in the file menu just type: FRIENDS -- the program will auto-complete the file name to: MM-ABOOK FRIENDS.DAT

Note: all address book files must be stored in MM's main folder!

Click this button to move or copy one or multiple e-mail addresses from one file to another. Simply checkmark one or more records, click on the ORGANIZE button and you get this window:



Click this button if you want to send a personalized message to each and every address in a particular MM Address Book. E.g. Suppose I want to invite my sailing friends to go sailing this weekend. I can send a personalized message to each one in the address book 'MM-ABOOK SAILING.DAT', by first selecting that book and then clicking this button. The program will ask if I really want to do this:



A click on the YES button takes you to the MM Editor Window, where you can create a personalized message to each individual. The 'placeholders' [[nickname]] and [[fullname]] in the subject line and/or the text will be replaced by, yes, each one's nick name or full name.

If you have clicked in the Address Book on the 'SEND TO ALL IN THIS ADDRESS BOOK' button, you will see this button instead of the 'SEND NOW' and 'SEND LATER' buttons.

You will also notice a Help window on how to use 'placeholders'. You can read this INFO window anytime by clicking on the 'Lampie' button.



In other words... every [[nickname]] placeholder will be replaced by the addressee's Nickname e.g. 'John' and every [[fullname]] placeholder will be replaced by the addressee's full name e.g. 'John Williams'. These placeholders can be put in the subject line and/or in your message text. It's that simple...

If you have multiple e-mail addresses, keep in mind that people will reply to whichever of YOUR e-mail addresses you put here. The SERVER that you select will be the one that handles ALL messages.

Attachments:

You can also ATTACH ONE OR MORE FILES to each message. Take into account that each recipient will receive the same file(s) and sending attachments will make each message larger.

When you have finished your message, click on the 'PREPARE MAILING' button. Mokum Mail will create as many outbound messages as there are addresses in the selected Address Book.

O.K. There we go...



Your message text is merged with the records in the Address Book and for each addressee a message is created. The messages are NOT sent immediately, instead they are placed in the OUTBOX - just like the SEND LATER feature.



When done, the OUTBOX is shown and you can review, edit one or more messages with something additional (if needed or desired) and finally send all personalized messages by clicking on the SEND button.



You can send one (1) high-lighted message, all messages or a limited number of messages. If you have a large number of personalized messages, you may want to send, for example, 25 messages at a time. This may prevent your ISP thinking it is spam...

Optionally, you can store a copy of each message in the SENT box (be sure to check the box!), if you need to archive all messages.
